The Collections view is a management tool that allows you to create, edit and delete collections. Collections are records of ad hoc or recurring debit order collections that include both authenticated DebiCheck and non-authenticated debit orders.
Collections can be generated for mandates automatically or manually, or added ad hoc without mandates. Once created, collections can be pre-approved or manually approved before submission cut-off. Collections can also be unapproved and amended.
This view is accessible by admins, managers and team leads and can be found via the side menu by clicking on the Collections menu link.
Within the Collections view you can create a single collection or multiple collections by uploading a populated Excel template.
Click on the Actions button in the menu bar and select Add. A modal window will appear that requires information regarding the collection. Certain input fields, such as the account number, can be verified in two ways. The user can do a Check Digit Verification (CDV) check which is an offline and free sense check of the account number, i.e. the account number length matches the type of account for the specified bank. Alternatively, the user can fully verify whether an account is correct and active by clicking on the AVSR link. This service is live and pay-as-you-use.
Once the form has been completed and submitted, the new collection will show in the Draft tab view.
Note that collections have different cut-off periods based on the instrument that is used. Below is a table of all the instruments and their cut-off windows within the platform.
Collection type
Cut-off period
EFT (Same day)
11:00 on the day of collection
EFT (One day)
17:00 one day before collection
EFT (Two day)
10:30 two days before collection
NAEDO
12:15 on the day before collection
DebiCheck
13:15 on the day before collection
There is an industry limit of R25 000 for NAEDO collections. The bank will reject all collections over this amount.
Within the Collections view you can edit a single collection or multiple collections by uploading a populated Excel template.
Select a record within the data table by clicking its checkbox. Click on the Actions button in the menu bar and select Edit selected. A modal window will appear with the existing input field data. Make any required changes directly in the input fields and then click Edit to save.
A modal window will appear which will ask you to upload an Excel spreadsheet containing the edited collections. The latest Excel template can be downloaded by clicking on the Get template button. The template contains preconfigured columns that need to be completed correctly for the file to be accepted. All amendments should correspond to the correct Collection ID field.
